Supplier Calibration Certificate Acceptance Checklist

Acceptance review for incoming calibration certificates from external providers.

Purpose

The acceptance review for every calibration certificate received from an external provider for the Laboratory's reference standards, working standards and monitoring equipment, before the item is returned to service, per SOP-11 section 6.5, SOP-12 section 6.5 and SOP-20 section 6.4.

What it covers

  • Provider and traceability
  • Item identification
  • Technical content
  • Implementation
  • Summary, actions and sign-off

How to complete it

  1. 1.Complete for every incoming certificate; file with the certificate in the equipment file and record the review on FRM-19.
  2. 2.Any 'No' is referred to the Technical Manager, who decides whether to reject the certificate, obtain a corrected certificate, or accept with documented justification and increased uncertainty.
  3. 3.Update FRM-18 (due date), FRM-19 (results, corrections), FRM-22 (chain) and the calculation tools; a second person verifies the corrections entered.

Before you use it

  • Replace every square-bracket token, starting with [LABORATORY NAME], [ADDRESS] and [EFFECTIVE DATE]. The full token list is in GD-01 Read Me First.
  • Have the content technically reviewed against how your laboratory actually works, then approved by the responsible manager before it becomes a controlled document.
  • Update the Word fields after editing so the table of contents and page numbers are correct: select all, then press F9.
  • Record the document in your own document register and set its review date.
